// SERVICE 01 — PROCESSES

Automate workflows.

Quotes, invoices, orders and reports: work that takes hours today can run automatically tomorrow — reliably and transparently.

What is workflow automation?

Every business runs the same steps every day: an enquiry comes in, data gets typed in, a quote is written, an invoice is created, a report is compiled. Workflow automation means describing these recurring processes properly once — and then letting software handle them: reliably, without typos and without anyone having to think about it.

The problem behind it: your employees spend hours on work that machines can do faster and without errors. Information gets lost between email, spreadsheets and your ERP, and steps depend on who happens to be in the office. An automation runs the same way every time — and documents what happened along the way. One prerequisite is often that the programs involved can talk to each other: that is what we take care of when connecting your software.

Who is it for?

For small and medium-sized businesses where office work slows down daily operations: trades businesses, service providers, practices, administrations. Wherever quotes, invoices or orders are still written by hand, automation wins back noticeable time. And because everything we build runs GDPR-compliant on your own infrastructure, it also suits the public sector and other fields with strict data protection requirements.

How a project runs

Like every project with us, in four clear steps — described in detail on the process page.

/01

Listen

In the free initial consultation you show us the process that slows you down. We say honestly whether automation is worth it.

/02

Fixed price

You receive a quote with a fixed price and a deadline. No open hourly budgets, no surprises.

/03

Build

We develop and test the workflow and install it on your systems. Your employees get clear instructions without jargon.

/04

Support

After launch we stay available: maintenance, adjustments, further development — you stay in control.

Self-hosted & GDPR: what that means here in practice

Automated workflows process the most sensitive data of your business: customers, prices, invoices. If something like that runs through a US cloud, this data moves to third-party servers — with all the legal questions that raises. With us, the workflow runs on your own infrastructure: in your company or in a German data centre.

That means: no disclosure to third parties, no dependence on cloud providers, no price increases from a platform operator. You receive documentation and insight into the source code — no vendor lock-in, not even to us. More on the self-hosting page.

Typical use cases

  • Quote process: from customer enquiry to a quote that is ready to send — research, calculation and a finished PDF run automatically, a human approves every email. That is exactly how our AI agent Operator One works.
  • Invoice runs: completed orders turn into invoices automatically — including handover to accounting, without retyping.
  • Reports: daily or weekly reports — revenue, open orders, stock levels — arrive fully prepared in your inbox instead of being compiled in the evening.

Common questions about workflow automation

In principle anything that follows clear rules: writing quotes, creating invoices, triggering orders, transferring data between programs, generating reports. In the initial consultation we look at your process and say openly what is worth it — and what is better left manual.

No. We connect your existing programs — ERP, accounting, email — instead of replacing them. Only if something is genuinely missing do we build it new, tailored to your process.

Then we adjust the workflow. You receive documentation and insight into the source code and stay independent — also from us. And because we remain available after launch, adjustments are done quickly.

Yes. Critical steps — such as sending a quote — only run after human approval. Every automatic step is documented, so you can check at any time what happened and when.
